How To Use Mailparser to Parse From a Submission Email

The first and most crucial step to getting your Lawprocess intake system setup is connecting your lead sources. Lead sources are how people find out about your law firm and their method to inquire about your services. A critical channel is webforms; most law firms receive inquiries through forms submitted on their websites or landing pages. These submissions end up in the mailbox and are often being neglected or not addressed before the potential client has an opportunity to contact five other law firms.

In this tutorial, we're going to cover how connecting your lead source can help you distinguish yourself from competitors and build a better reputation by automatically parsing your form inquiries to Lawprocess or other legal CRM. This simple implementation is a vital step in streamlining your intake process while saving you and your team precious time.

To achieve this, we're going to use a tool called Mailparser. Mailparser is a powerful and easy-to-use program that can be used to parse any email in your inbox. It uses a technique called parsing, which is the process of extracting information from a text file. The good news is that you can start using Mailparser for free. Once it is set up, you can get all the information about the submission passed onto any system or even an excel sheet without viewing it or manually processing it.

First, let's start by creating a Mailparser account and select your subscription based on the volume of email you anticipate to be parsing.

  • Next, create your first inbox:

  • Forward your form submission to your Mailparser Inbox

  • Create your parsing rules:

  • Form standard form email submissions, select body, then HTML:

  • Start cropping and modify the patterns of your email. First, find and remove lines and entities:

    • Remove Link URLs

    • Remove Images

    • Remove empty lines

  • Set start and end position

  • When you are happy with the final result, name the field and save the parsing rule:

  • Repeat for each field you want to parse.

When you have created all the parsing rules, you can verify that all the data you need is being parsed correctly:

Connecting your Zapier account

If you do not have an existing Zapier account, sign up here.

  • In your Mailparser account, select integrations:

  • Select Zapier and follow the instructions to connect your account:

  • Log in to your Zapier account and select "Create a new zap"

  • Name your Zap, search for Mailparser, and select:

  • Select the zap trigger, connect your account and choose the Mailparser inbox you want to get data from:

  • Connect your Lawprocess account using the API key you'll find in your company setting:

  • Make sure your custom fields are created, this will allow you to map them in Zapier.

  • Create your next action in Zapier

  • Search for Lawprocess

  • Select the event (Add/Update a contact) and map the field from your sample Mailparser data:

  • Marking the contact as lead "True" or "False" is required.

  • Continue, test, and turn on your zap:

Congratulations, you have set up your first form submission lead source to Lawprocess. Now you can connect to other email lead sources you are getting via email using the exact same process.
